Trust is built between drop-off and pickup: why nursery communication is not optional

By The MyKita team

A nursery's marketing talks about curriculum, staff ratios and the garden. What actually decides whether a parent trusts it, renews for another year, and tells other parents about it, is smaller and less glamorous: did the nursery tell them what they needed to know, when they needed to know it. Care that happens silently and correctly still fails a parent who never hears about it, or hears about it too late to do anything with it.

That is true of a manager's decisions as much as a teacher's. Here are four moments where it shows.

When a closure notice arrives too late

A boiler fails overnight, or half the staff are out sick, and the nursery has to close for the day. The notice goes up on the door at 7:15. The first parent has already dropped off and left for work by 7:10. The second is standing outside with a toddler and a rucksack, now working out who can take the morning off on no notice.

None of this was avoidable. A boiler failing is not a communication failure. A parent finding out from a locked door instead of a message the night before is. The information existed at 9pm; it just had not reached anyone yet.

A fee change deserves the same care as an announcement, not a hallway printout

Costs go up. Parents accept that, more readily than nurseries usually expect, when they understand why and have time to plan for it. What they do not accept well is finding a new number on a printout taped to the sign-in sheet three weeks before it takes effect, with no explanation attached.

The nurseries that keep their families through a price rise are the ones that treat it like the decision it is: an admin message weeks ahead, the reason stated plainly, and the same message reaching every parent rather than whoever happened to notice the paper.

An incident report is the test a nursery cannot afford to fail

A toddler trips in the garden and comes away with a graze and a bump on the forehead. Nothing serious, the kind of thing that happens most weeks in a room full of two-year-olds. What a parent remembers is not the bump. It is whether they heard about it from the nursery within the hour, or noticed it themselves at pickup and had to ask what happened.

The first version is a nursery doing its job well. The second reads as something being hidden, even when nothing was. This is the one place where "we were going to mention it later" does real, lasting damage to trust, safeguarding record included.

The waitlist call a parent remembers for years

Long before a child ever starts, communication is already shaping the nursery's reputation. A parent who called about a place, was told "we'll get back to you," and never heard anything again, does not just walk away quietly. They tell the other parents at the school gate, the ones who would otherwise have called too.

A short message, even a "no space until spring, here is what we'd suggest," costs the admin two minutes and keeps the door open. Silence costs nothing today and a steady trickle of referrals for years.

What ties all four together

None of these moments needed better childcare. They needed the right message to reach the right person before the moment it mattered had passed. That means one channel parents actually check, messages that reach a parent directly rather than a noticeboard, and a record of what was sent and when, so "I never got that" can be checked rather than argued about.

If your nursery's communication still depends on a printout, a group chat and hoping the right person reads the right thing, book a demo and we will show you what it looks like when every parent hears what they need to, on time, every time.
